With Chaos Software, managing GTD and inbox zero is very easy. An email arrives you do one of several things:

1. Act upon it. Either reply, forward or file away.
2. Delete it.
3. Schedule it.

Step three is where Chaos Software shines. Simply by dragging an email to task or appointment you can easily schedule those emails in a flash.

In future posts we will talk about setting up your tasks in GTD fashion. Until then, I need to go, I have two unread emails in my inbox!

The system that has become very popular is one that we call “Gavins Method”. Gavin is the original founder of Forum-Chaos and managed the forum for years so the users could have a place to go. We have taken over the reins here at Chaos Addon’s so to speak, however, we are quick to say that we will never replace Gavin we are just trying to keep the torch burning.

Back to the topic at hand and that is managing emails. Well with the linking capabilities within Intellect each email is linked to the specific contact. Therefore there is really no need for the old fashioned file folder tree. Gavin suggests simply to create a folder for each year and sub folders for each month within that year. When a new month starts just create a new folder for that month. If you like you can then save the previous years email over to an archive database for reference when needed. Archiving is easy. Simply locate your Chaos Software data folder and locate the archived folder for the previous year, copy that folder into an archive database that you create within Intellect. That is really all there is to it. Once you have created the archive you can delete the email folder from you main database.

So what is 1 Source SendIt? Well it allows users to transfer large files right from within !ntellect or Time and Chaos 7. By making some minor edits to the services.ini file with Chaos Software you will create an hyperlink that will activate 1 Source SendIt, automatically populate the destination fields, from fields and notes fields allowing Chaos Software users to send large files to anyone in their contact database in seconds!

We all have large files to send to folks sometimes on an hourly basis. Emailing large attachments can be time consuming and can bog you down. With 1 Source SendIt you can now send large files and continue to work while your files are being sent.

One of the most valuable features of Chaos Software’s !ntellect and Time and Chaos 7 is their ability to link information to a specific contact. As a matter of fact linking is really going on everywhere with this software.

There is the ability to link appointments to contacts, tasks to contacts, memos, emails, you can link tasks to appointments and appointments to tasks. It is almost crazy. Yet this is also extremely valuable. By simply clicking on a specific contact a user has the ability to see every task, email, memo and appointment every associated with that contact just by selecting the linked tab on the contact detail. This is a huge time saver!

How do you link a contact to a task or an appointment. Very easy. Just drag the contact over the task or appointment tab and release and almost magically the contact or task window appear with that contacts name in the linked window. Then simply complete your appointment or task details and you are linked up and ready to go.

For most Chaos Software users you already know about this great feature. Oddly enough though there are folks out there who use this software on a daily basis who have no idea of this feature. While a very basic part of the usage it linking contacts in Intellect or Time and Chaos 7 is one of the most powerful features available.
